Information we collect

We collect information in three ways: information you give us directly, information collected automatically when you browse, and information from the AI assistant.

Information you provide

  • Start a Project / contact form: name, company, work email, phone (optional), country, the service and industry you are interested in, a description of your project, estimated budget and timeline (optional), how you heard about us, and any files you choose to upload.
  • Quote estimator: the service, scope options and timeline you select, your name, email, company, phone (optional) and notes.
  • Careers applications: name, email, the role you are applying for, a portfolio or profile link, a résumé/CV if you attach one, and your message.
  • AI assistant lead capture: name, email, phone (optional) and the enquiry you ask us to follow up on.

Information collected automatically

  • Technical data such as browser type, device, operating system, approximate location derived from IP address, pages visited, referring page and timestamps.
  • A hashed (one-way) form of your IP address is stored with form submissions for abuse prevention. We do not store raw IP addresses with your enquiry.
  • Analytics and session data collected by the tools described in our Cookie Policy (Google Analytics 4, Google Tag Manager and Microsoft Clarity), where enabled.

AI assistant conversations

Messages you send to the website assistant, and its replies, may be stored so we can improve answer quality and follow up on enquiries you ask us to handle. The assistant answers only from approved company content; please do not share passwords, payment details or sensitive personal data in chat.

How we use your information

  • To respond to enquiries, prepare estimates and proposals, and schedule calls.
  • To evaluate job and freelance partner applications.
  • To operate, secure and improve the website, including preventing spam and abuse (honeypot fields, rate limiting and, where enabled, Cloudflare Turnstile).
  • To understand how the site is used so we can improve content and performance (aggregated analytics).
  • To comply with legal obligations and enforce our Terms & Conditions.

We do not sell personal information, and we do not use your data for automated decisions that have legal or similarly significant effects on you.

Where data-protection law such as the UK/EU GDPR applies, we rely on: legitimate interests (responding to business enquiries, securing the site, measuring performance), contract (steps taken at your request before entering an agreement), consent (optional cookies and analytics, where consent is required), and legal obligation.

Who we share information with

We share personal information only with service providers who process it on our behalf and under contract, for example:

  • Hosting and infrastructure providers for this website and its database.
  • Email delivery providers used to notify us of new enquiries.
  • Analytics providers (Google, Microsoft) as described in the Cookie Policy.
  • Scheduling tools (for example a Calendly-style booking service) if you choose to book a call.
  • AI model providers used to power the website assistant, who receive the content of your chat messages to generate a reply.

International transfers

QualiteSoft Solutions is based in India and serves clients in the United States, United Arab Emirates, Canada, Australia and the United Kingdom. Information you submit may be processed in India and in the countries where our service providers operate. Where required, we use appropriate safeguards (such as standard contractual clauses) for such transfers.

How long we keep information

  • Enquiries, estimates and proposals: for as long as needed to respond and, if we work together, for the duration of the relationship plus a reasonable period afterwards for records. [Retention period to be confirmed.]
  • Job and freelance applications: typically up to 12 months after the process ends, unless you ask us to delete them sooner or we agree to keep your profile on file. [To be confirmed.]

  • Uploaded files: deleted when no longer needed for the enquiry they relate to.

Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent at any time. You may also have the right to lodge a complaint with a supervisory authority.

Security

We use technical and organisational measures appropriate to the risk, including encrypted connections (HTTPS), input validation, restricted access to stored enquiries, hashed IP addresses and secure handling of uploaded files. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children

This website is intended for businesses and professionals. We do not knowingly collect personal information from anyone under 16.

The site links to third-party websites (for example LinkedIn, Upwork or client products). Their privacy practices are their own; please review their policies.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Material changes will be highlighted on this page.

Governing law
